CRM & Follow-up Mastery

Turn leads into relationships. The SWAPP CRM is optimized for church follow-up, ensuring no visitor falls through the cracks.

The Contact Card: Anatomy & Actions

When you click on a contact in the App or Dashboard, you are presented with their "Contact Card." Here is precisely how to use it:

  • Call/SMS/Email: Tap the corresponding icon (phone, message, or envelope) to instantly trigger your device's native app. No manual copying needed.
  • Navigate: Tap the Compass icon to open turn-by-turn directions to their saved address.
  • Record Visit: This is the most important button for follow-up. Tap Record Visit to save notes about your conversation, prayer requests, or current spiritual state.
  • History: View all previous visits and notes at the bottom of the card to see the full timeline of the church's interaction with this person.

Folders & Smart Searching

SWAPP uses a flexible folder system that behaves more like "tagging" than literal files.

  • Folders: Organize people into categories like Sunday School, Baptism Candidates, or VBS 2025. A single person can be in multiple folders.
  • Smart Search: The search bar doesn't just look at names; it also searches Notes.
Example: If you tagged someone as "Interested in Baptism" in the notes, searching "Baptism" will pull them up even if they aren't in a folder yet.

How to: Automate Visitor Entry (QR Codes)

  1. In the Web Dashboard, go to Contacts.
  2. Click the QR icon (small squares) next to any folder name.
  3. Download and print this code for your Welcome Center or visitor cards.
  4. When a visitor scans it and fills out their info, they are automatically created in that specific folder in your system.

How to: Create an Optimized Visit Route

  1. In the Dashboard, select the contacts you want to visit today by checking their boxes.
  2. Click the Street/Route icon at the top.
  3. Enter your Start and End location (e.g., your Church name).
  4. Hit Optimize. SWAPP will calculate the fastest path between all stops.
  5. This route is instantly assigned to your "Routes" section in the mobile app for easy field use.
